Please note that I have received an e-mail from KCC in regard to camping arrangements for this year. They had indicated last week that camping would be from the Friday only but as you will see they have agreed to the keep to the previously agreed arrangement of Thursday. Is any-one willing to be the designated key holder if so please let me know. " I do need a name of a designated Key holder from the group who will be responsible for holding the gate key should any vehicle leave the site in an emergency. As you have said it is short notice to ask campers to fill in a booking form . Therefore I will do this on the Saturday morning. I know in the past the arrangements have always been informal, regarding the pitch fees for camping etc. But in order to protect the staff collecting the fees on behalf of the council we feel that adequate systems should be in place. Also from a health and safety issue we should hold on file the names and ages of campers on site in the case of an emergency. Can I ask that all campers turn up between 5.30pm and 7.30 pm on the Thursday as the site staff will need to see them in."

Yes that is ok, it is only Thursday as once some-one has the key then they will be able to ensure the gate is kept locked etc

Malcolm, you have a volunteer key holder. Check the weekenders forum. Thanks Gareth, I had picked it up last night but have not come back onto the computer until to-day. Just to confirm Dave Styles ( Manky Badger) will hold the key to the gate for the duration of the event from Thursday evening.

Please find below the message I have posted on kite weekenders forum in regard to the need for booking forms, individual information and the disposal of the forms:-
" Regarding the booking forms There are two reasons for having a booking form . Firstly we need to have a audit trail for the monies received for the pitch for our finance team also to protect the staff collecting the income on behalf of KCC. Secondly all camp sites expect a booking form to be filled in by anyone using the facilities. In the case of emergency this will provide information of who is on the site especially as the site is not normally used for overnight camping, also due to the proximity of the river, should there be an accident or incident KCC would need to be aware of who was on site etc.
I know in the past the arrangements at Teston have been on a very informal basis with the site warden , However now we are tasked to ensure all our sites are run efficiently, hence the new systems in place.
With regard to what happens to forms. All booking forms for any events activities are kept in locked files for a period of three years after this time they are shredded . However in the case of paperwork relating to events, activities bookings etc .These are sent to KCC Invicta house finance were they are kept for a number of years and then microfilmed and shredded. As the site wardens at Teston are new to post Pauline Allen will be collecting the booking forms and fees on the Saturday morning together with one of the new site wardens, she is fully CRB checked"
I hope that the above satisfies the points raised.
There will be access to be site on the Thursday, but Dave Styles aka Manky Badger will have to be on site first as he has volunteered to be the keeper of the key.
Despite all the difficulties raised at least we have Teston August Festival and there is talk already about it taking place in 2013.
I am sure we all wish to keep kite festivals going even when restrictions are placed on previously informal arrangements

Sounds fair enough....
We need to be working with them in a positive way to ensure that there will be future festivals....

What time do we have to be on site to park on field. Offically 10am, but as we normally park near the gate it can be opened until 10.30am for KKF members. It would assist if most members are there by 10am

Sun with wind!! well plenty of sun and a bit of wind on occasions just about sums up the weekend. From my perspective a great weekend (once my skin has stopped glowing) and I think a very successful 25th anniversary event. Many thanks to all who helped organise the weekend, assisted the kite making workshop and helped sell kites, + all who attended who helped colour the sky with ripstop when the wind blew. Special thanks to the catering volunteers who helped feed us on Saturday night at the BBQ and a big thank you to Bill who once again showed us what a great BBQ chef he is. Looking forward to next year already. Pictures and comments on the weekend gratefully received for the next Windjammer. Mike
